Method
- In Make, create a scenario with the Stripe 'Watch Events' trigger, connect Stripe, and choose the event type 'charge.succeeded' (or 'invoice.paid' if you bill memberships through Stripe Billing).
- Add QuickBooks Online 'Search for Customers' by email (from the charge's billing details); add a router: if no customer is found, use 'Create a Customer'.
- Add QuickBooks Online 'Create a Sales Receipt': customer from the previous step, a line item mapped to your 'Memberships' or 'Class packs' product/service, amount = Stripe amount ÷ 100 (Stripe sends cents), and the Stripe charge ID in the memo/reference so you can trace it.
- Optionally record Stripe fees separately (the fee is on the charge's balance transaction) or let your accountant handle fees from the payout; agree on one approach so nothing is booked twice.
- Add an error handler or a Slack/email alert when a module fails, so missed receipts don't go unnoticed.
- Run once with a small real or test-mode charge, check the receipt in QuickBooks, then schedule the scenario on. If you already use Stripe's or QuickBooks' own sync app, don't run both.
